Morning Training Topics

We have conducted Thursday and Friday Morning Training on Elluminate -- every Friday 10:30am-11:30am Eastern, 9:30am-10:30am Central. Each week we will feature one library's project. Add your project below to have it scheduled.

Thursday 7/26/12: Authorities in Shared Bib (2:30pm-3:30pm EDT)

Join this session to learn about the shared bib authorities environment and some techniques for searching authorities and checking bib headings against authorities.

Thursday 6/21/12: Final Preparations for Shared Bib Transition, or What to Expect When You're Expecting

Join this session for a review of the timeline for the upcoming transition weekend, as well as reminders about using offline circulation, client management, printing and services, and reports.

Friday 6/15/12: Offline Circulation during Transition

  • When: Friday, June 15th at 10am.

  • Audience: Access Services & IT support staff who will need to install clients and/or loan materials during SharedBib transition downtime.

Detailed explanation of the matrix spreadsheet with examples in both the Shared Bib Mango and Client. What displays where, how and when depending on what records are associated with the Bib record.

4/27/12: How to Batch Delete Local Authority Records

Batch deleting local authority records has a special twist: relinking the bib headings to LCA10 as part of the authority delete. Join this session to learn all about the ins and outs of the process.

4/20/12: How to Add STA SUPPRESSED Tag to Holding Records

We have a set of bib records that have STA SUPPRESSED. Can I use that to add STA SUPPRESSED to the holdings records? This training session will show you how to convert the Bib numbers to HOL numbers and run Global change in the UXU60 library to add the tag STA SUPPRESSED to the holding records.

4/13/12: Searching and Creating Sets of Records for Cleaning up Your 510's

Kim Montgomery has graciously accepted to conduct a training session on how she's creating sets and using global change to cleanup UCF's 510's.

4/6/12: Indexes - Aleph and Mango

Everything, well almost everything, you ever wanted to know about Indexes. Mary Ann is doing this session in preparation for the vote on paring down 505, 520, 970 indexes.

3/30/12: Using Aleph Loaders p_file_96 and p_file_90

Comparison of the two loaders; Advanced Generic Vendor Records Loader (file-90) and Generic Vendor Records Loader (file-96). Discussion involving Group 1 (Loads that create order records and any overlaying) of the Data Loading Group.

3/23/12: How to Change Bib Tags and Indicators Using Global Change

We are working through our Bib Tag clean-up. Some of the groups of bibs are large and could be changed globally. How do we do a global change of just a tag and/or indicators on a set of bib records?

3/16/12: How to Delete Item Records with a Set of Bib Records

We need to delete Item records from a set of bibs. We’ve created a set by searching on Bib TKRs and saved the set. First we will convert the Bib Record numbers to Item Record Numbers and then use the Services, Delete Item Records (item-11).

3/9/12: Creating Sets of System numbers for Global Change and Other Projects

3/2/12: Clean up Bibs with No Holdings or Items

Run the Bibs with No Holdings or Items ARROW report -- download to Excel -- analyze the results -- create a file of bib numbers for an Aleph service -- upload to Aleph -- run a batch delete Click for the Elluminate Recording of the Training Session! FYI -- The Training session ends at the 3 hour time mark.

Requests for future training

  • We are working through our Bib Tag clean-up. Some of the groups of bibs are large and could be changed globally. How do we do a global change of just a tag and/or indicators on a set of bib records? Do we use Global Changes (manage-21)? How would that be formatted. DONE
  • We need to delete Item records from a set of bibs. We’ve created a set by searching on Bib TKRs and saved the set. We found under Services, Items the report Delete Item Records (item-11). Can we use the Bib input file? Or do we need a file of item records—and if so, how would we create that from the bibs? DONE
  • Regarding the report Active Holdings With Suppressed Bibs. I sorted these by Sublibrary/Collection code to make global edits easier. If you look at the NFUCC GENL tab, a spot check indicates these are IPS Lost. How would I: create an input file, run a report on IPS, select those with IPS lost, create an input file, check to see if those records have suppressed Holdings and if the holdings had other active, unsuppressed items attached—so I would feel OK that the bibs could lose their suppressed statuses.
  • What are the different ways to create a set of records for global change or other cleanup? DONE
  • I have a set of bib records that have STA SUPPRESSED. Can I use that to add STA SUPPRESSED to the holdings records? DONE
  • How can HOLs be created pre-merge for batches of BIBs presently without HOLs? Is there a way to customize these HOLs so that the 852 contains $a, $b, $c and $z (data not necessarily in the Bib) but NOT $h or $i (call no.info) ?
  • How can a set of local authority records be deleted? DONE

General Shared Bib Training

  • Modular training to introduce all affected staff to the Shared Bib environment

In the May 7th call the SBIT asked FCLA to begin working on a training program for introducing all affected staff to the Shared Bib environment. It would be good if FCLA could include some basic Aleph training in these sessions.

Our plan

  • collect topic ideas beyond the basic "whats different in Shared BIb"
  • address the topics in short, modular sessions on Friday mornings
  • record them to make them available to staff close to the time of the transition.
  • ask for volunteers to assist in training

  • Aleph environments - what they are, where they are and how to use them
