Shared Bib is a Go!

At 8:00 Thursday morning, EDT, Shared Bib was brought up in Production. This is a day that many people (CSUL, SUS library staff and FCLA) have been working towards for a long time. Lots of info. is available on the Release Notes for Production Shared Bib page.

June 22, 2012 Shared Bib Elluminate Office Hours

Starting Thursday, June 28, FCLA staff will be available via Elluminate to help with any questions or problems concerning the new Aleph Shared Bib environment.

June 21, 2012 Transition Begins Tomorrow

We've all been talking, working and planning on this transition for a number of years and its really going to happen. Aleph will be brought down tomorrow at 6:00 p.m. EDT so that we can begin the detailed steps to move all the data out of the current Aleph environments into a single Shared Bib environment. June 15, 2012 Offline Circ during SharedBib Transition Training

  • Friday, June 15th at 10am.
  • For Access Services & IT support staff who will need to install clients and/or loan materials during SharedBib transition downtime.
  • For those of you who might not be able to attend this week, additional training will be offered the week of June 18 - 22.

  • The Aleph 20 SB Offline Circ client has been added to the clients section of the FCLA website for downloading.

May 16, 2012 New May Merge in UXTest Available

Resume your testing in the UXTest client. A new section has been added to the UXTest shared bib wiki page called, What's New in the May Merge UXTest Database.

May 15, 2012 UXTest Unavailable Starting 2:00 PM EDT

The process of copying the new May Merge data to UXTest will begin Tuesday May 15th at 2:00 PM EDT. Records and data were copied from Production on May 3, 2012. A message will be sent when UXTest is up again and ready for testing. We anticipate this will be late Wednesday morning, May 16th.

April 23, 2012 UXTest is Back

The UXU01word indexing has finished and looks good. UXTest is back up and available (5:30 pm)

April 23, 2012 UXTest still unavailable today (Monday)

The word index for UXU01 is still running. As a result UXTest is still unavailable today.

The word indexing had to be restarted several times over the weekend: - 1st attempt used parameters that would help it run faster. It failed when it hit a chunk of very large bibs and generated a temporary file of 2 gig, which is larger than Aleph can handle. The parameters were adjusted to index records in smaller chunks to keep the temporary files under 2 gig. We'll use these same parameters from now on. - 2nd attempt failed because of some bibs that were too large. They were deleted. - 3rd attempt is running now and looks good so far.

April 20, 2012 UXTest Unavailable on the Weekend

UXTest will be unavailable after 5pm today and through the weekend while the UXU01 word index is rebuilt.

Ex Libris fixed the word index problem with "wsc=gcumn adj main." However, we're concerned there may be other problems resulting from the issues we had with running the full word index on the development server. We expect the word index rebuild to run smoothly on the Test server, just as it did in January. It will give you all a good word index to work with in your testing.

April 17, 2012 UXTest Patrons Fixed

Patron indexing has completed, and all patrons are now retrievable by name, system id and barcode in the shared bib UXTest client. You will also see the same set of patrons regardless of whether the "Display Local Patrons Only" box is checked in the Patron List.

April 16, 2012 UXTest Patrons Unavailable While Reindexing

Patrons are being reindexed in UXTest. This is anticipated to take the rest of the day. Circ testing in shared bib will be unavailable, as well as any patron-related functions in other modules such as Acq initiators.

Why: Patron indexing is incomplete due to some settings in a separate environment we used to build the index. This means not all patrons are successfully retrieved using the "Patron List". Because most of the patron files "live" in the same place in shared bib, all of the patrons have to be reindexed - not just those two institutions'.

Thanks to those of you who have been testing, and reported this problem. Please let us know if you have any questions.

April 5, 2012 Newly Merged UXTest Available

The newly merged Shared Bib database is now available in UXTest. Please see the UXTest Release Notes on What's New in the March Merge UXTest database.

You may also want to refer to our What to Review section on the UXTest Release Notes page for previous testing suggestions and for testing changes in this merge.

NOTE: We are still working the Patron Indexing, so please hold off checking Patrons until further notice.

April 4, 2012 UXTest Unavailable

UXTest will be down and unavailable until Thursday (4/5) morning. UXTest will be refreshed with the new merged database.

A message will be sent as soon as UXTest is available. Information about what's new in this March Merge can be found on the Shared Bib wiki on the UXTest Release Notes page.


April 2, 2012 The March Merge Will Be Released This Week

We will bring UXTest down a day or so this week to backup and copy the new merged database to from our Dev server to UXTest.


March 27, 2012 ARROW and Ad Hoc Reports Using the Shared Bib and Holdings Files

The first step in the process of report creation will be the modification of the ETLs (Extract, Transform, Load) that populate the Data Warehouse tables that are the basis for most ARROW reports. In conjunction, we will be testing "real time" update of the DW tables. The next step will be the rewrite of existing ARROW and statistic reports.

  • Reports will be modified in priority order based first on sample use data then by the results of liaison votes. Votes should be recorded on the Shared Bib ARROW Priority List - ADDED 3/26
  • Libraries that have created their own reports, scripts, macros, etc. will also need to modify them. We hope to give them access to the new tables prior to the production merge but there is currently no timetable.


March 23, 2012 Patron cleanup underway

Details are listed on the page linked above. Jennifer will follow up with each institution as their patron "purge" is run so that they can review results in conjunction with FCLA.

March 15, 2012: Permalinks in Shared Bib Mango

Shared Bib Mango has been updated to index each institution's current system numbers, so current permalinks will continue to work in the shared bib environment. Test them out at http://testcat.fcla.edu/sharedbib .

March 15, 2012 Shared Bib for Access Services

A Shared Bib Elluminate session for Access Services was held Thursday, March 8 and repeated Tuesday, March 13. A total of almost 40 people attended. Topics included an overview of the project, a tour of the Circulation client, and information about what to test and what's coming. There was interest in similar sessions focusing on UBorrow and Course Reserves in Shared Bib, so those will be scheduled as that functionality is released over the next couple of months. You will find a recording of the session here.

March 9, 2012 Creating Sets of System numbers for Global Change and Other Projects

March 8, 2012 The March Merge is Underway

The second Merge of the 11 Aleph Databases is in progress. We expect to release the new SB merged database at the end of the month. Go to the UXTest Release Notes page for What's New in the March Merge!

March 7, 2012 UXTest is Available

The Aleph Service Pack has been installed on the Test Server. Your Aleph Client software will be updated via Version Check.

If your UXTest client was installed before February 15, 2012, you will need to update the Version Control section to change your alephcom.ini file on your C drive. For detailed information, go to: UXTest Release Notes section on Version Check Update.

March 6, 2012 Service Pack Upgrade on Test

Beginning at 1:00 PM today FCLA will bring all test Aleph environments down so that we can install the latest Service Pack from Ex Libris. This includes the UXTest environment used for testing the Shared Bib. Your Aleph Client software will be updated via Version Check. If your UXTest client was installed before February 15, 2012, you will need to update the Version Control section to change your alephcom.ini file on your C drive.

March 5, 2012 Clean up Bibs with No Holdings or Items

The Elluminate Recording is now Available from the Friday Morning (3/2) Training Session.

March 2, 2012 Reminders and New SB Merge

Remember the Liaison Action Items spreadsheet listing tasks with deadlines. In particular, please sign off on the action item 'Delete Records Linked to STA Deleted Bibs'. Here's a link to information and the reports/spreadsheets for each institution from the wiki Cleanup Project Reports page. The orphaned records associated with the STA Deleted Bibs will be deleted from Production this afternoon (3/2). This will assure they will not be in the next or future Shared Bib databases.

We will be starting the initial steps for the next merge this weekend (3/3 - 3/4). All the steps and processes of the new merge will be on a separate server from Test, so you can continue your testing of UXTest. We expect the entire process, including indexing, will take approximately 3 weeks.

February 28, 2012 Timeline Available

February 27, 2012 Service Pack Upgrade on Test

February 23, 2012 Elluminate Blackboard Reservation Signup is Now Available

Go to the new Elluminate Blackboard Reservations for the Signup Page to make your Reservation for the Shared Bib Implementation Team Elluminate/Blackboard established meeting session! There is a section for Regular Meetings and Special Ad Hoc Meetings.

February 22, 2012 UXTest Patrons Now Available

The patron reindexing has fixed the problem with the patrons not displaying in all the individual UXTest clients in the Initiator IDs.

February 22, 2012 UXTest Patrons Unavailable

UXTest Shared Bib patrons are being reindexed, and will be unavailable until early afternoon. This means Circ testing in shared bib will be unavailable, as well as any patron-related functions such as Acq initiators.

Re-indexing is needed to fix the "Patron List" browse function for UNF and FAMU. Because most of the patron files "live" in the same place in shared bib, all of the the patrons have to be reindexed - not just those two institutions'.

February 14, 2012 Fix for Circ client crashes

The SB Test client currently in use is not up to the latest Aleph service pack. Daniel will be packaging and posting corrected clients. In the meantime, can be configured and run manually. Here's how: Version Check Update

January 30, 2012 UXTest Available to Libraries

The UXTest merge of all 11 SUL databases is now available! Select UXTest Release Notes to find information about new Aleph Client availability, Mango test catalog links, the Shared Bib Environment, testing functionality, and more.

January 23, 2012 UXTest Update

UXTest is nearing completion for all the necessary indexing jobs. This week we will be running the post-steps to the merge process, including the linking scripts. In addition, we'll be creating a new Aleph client and release for testing the merged Shared Bib database. It will be released next week, on Monday or Tuesday, January 30/31.

January 20, 2012 Implementation Team Meeting Information

Our first meeting of the Shared Bib Implementation Team after the Face to Face will be Monday, 1/23/12, at 3:00 p.m. Eastern time. We will be meeting via Elluminate. Elluminate Recording on Using Cleanup Reports

FCLA offered two sessions on 'How to Run Clean-up Reports' on Tuesday, January 17th and January 18th. Donna Alsbury ran ARROW reports specifically for Shared Bib clean-up and suggestions on what to do with the report once you have it! The GoogleDoc, Shared Bib Cleanup Projects lists those prioritized reports including links for easy access.
